Automating Airloop's ERP integrations

Automatic bridges between every tool and the ERP

Airloop, a sports and leisure centre, runs its business on several specialist platforms: sports booking with Doinsport, ticketing with Qweekle, point of sale with Cashmag, management with the Wyzio ERP and customer relationships with HubSpot. Each is excellent at its job, but the data stayed in silos.

The challenge

Get sales from every channel into the ERP for accounting, and new contacts into the CRM, without re-keying. Repeated every day across that many tools, the manual work is slow, error-prone and easy to forget.

The solution

We built a suite of automation scripts in Python, orchestrated by a scheduler (Docker and cron). Every night, sales from Qweekle, Cashmag and Doinsport (padel and ball sports) are consolidated into Wyzio; new contacts sync to HubSpot every five minutes. Each bridge logs its runs and monitors its own health, so it runs unattended.

The client stays in control

Airloop isn't a bystander to its automations. A dashboard gives a live view of every bridge's runs, and an email alert goes out automatically the moment a sync fails, so the team can react straight away. We also built a custom macOS app that lets them re-run or adjust an import whenever needed, entirely on their own.

No AI agent, no subscription

Today, most would hand these syncs to AI agents. It's tempting, but expensive: an agent runs on a subscription and bills every execution, a cost that climbs with volume. For a flow this regular and well-defined, deterministic scripts do the same job, predictably and reliably. Airloop paid for the setup once and now only pays for hosting, around 5.-/month. No subscription, no cost that balloons with each run.
